Cancellation Policy for Summer 2026

Booking Deposit & Final Payment

A 50% deposit is required to secure all reservations upon booking. Canadian guests may pay by e‑transfer, cheque, or credit card; international guests may pay by credit card, US cheque, or bank transfer. Full payment for all summer trips is due 45 days prior to departure, and this final payment is non‑refundable.

Cancellations

Cancellations before March 15: If you cancel before March 15, 2026 you will receive a 40% refund of your 50% deposit. A 10% non‑refundable booking fee is retained. If you have already paid in full, you will receive a 90% refund, with the 10% non refundable booking fee retained.

Cancellations after March 15: No refunds will be issued for cancellations made after March 15, 202 6. We have a very short season, and after February, these spots become very difficult to resell.

Wells Gray Adventures does not provide refunds or credits if a guest chooses to cancel past the cancellation deadline due to weather, air‑quality advisories, regional smoke conditions, heat, snow, rain, illness, aging parents or any other personal or environmental concern. Summer in British Columbia often includes periods of smoke, and trips will continue as long as there are no official closures preventing us from operating. If you are concerned about these risks, please obtain cancellation insurance from Lifestyle Financial (https://lifestylefinancial.ca/get-a-quote/blbca/) or the provider of your choice and ensure your policy covers the situations you are worried about.

Travel Insurance

We strongly recommend purchasing travel insurance that covers trip cancellations, medical expenses, evacuation, and travel disruptions. Some visas include cancellation insurance—please check if this applies to you. Ensure your policy covers the activities you plan to undertake. Wells Gray Adventures is not responsible for costs or losses resulting from insufficient coverage.

Waivers

All guests will be required to sign a waiver upon booking and also sign it in person at our office on the morning of their trip, with our staff as witnesses. This waiver acknowledges and accepts the inherent risks of wilderness travel.

Force Majeure Policy

If Wells Gray Adventures is unable to operate your trip due to a force majeure event—such as an official area closure by BC Parks or government authorities, an access restriction, or any circumstance that legally or logistically prevents us from running the trip—we will first adjust the itinerary if possible. If no reasonable itinerary adjustment allows the trip to operate, we will offer to reschedule your trip to the next available season. If rescheduling is not possible, we will issue a credit toward a future trip. The 10% non‑refundable booking fee applies to all reservations and will not be refunded.

Itinerary

At Wells Gray Adventures, we are committed to providing our guests with the best possible experience. While we strive to follow the planned itinerary, adjustments may be made due to weather, trail conditions, operational considerations, or other factors. Itinerary changes do not qualify for refunds or credits. If an area closure affects a specific route, we will adjust the itinerary as needed to continue the trip. Rest assured, any modifications to the itinerary will be made with your safety and enjoyment as our top priority.

COVID Policy

IIf you experience COVID‑19 symptoms within 7 days of your trip start date, please contact us to discuss rescheduling. During the trip, distancing may not always be possible. Participants must carry a mask, practice good hygiene, and agree to evacuation if they exhibit symptoms. If symptoms arise during the trip, guides may administer a rapid test.

  • Positive test: Isolation, masking, and evacuation are required.
  • Negative test: Masking continues, and guides will determine if further action is needed.

Vaccination is strongly recommended, especially as many of our guests are older adults. Wells Gray Adventures will assess the situation and determine whether any additional measures or evacuation are necessary based on the overall safety of the group.

Evacuations

  • Helicopter Evacuation: Costs start at $1500 and may increase depending on the flight’s duration and complexity.
  • Early Departure: If you need to leave the trip early, requiring a guide and transportation, the fee is $325 per person, with an additional $200 per additional person.

If you are concerned about the potential need for an evacuation, we advise purchasing evacuation insurance. This insurance can help cover evacuation costs and provide additional peace of mind.

Group Bookings

If you are organizing a trip for family or friends, you are responsible for conveying all pre-trip information to participants, including the waiver. Participants must agree to the terms of the Wells Gray Adventures waiver, which must be signed in person at our office on the morning of departure. It is the trip organizer’s responsibility to ensure all participants are aware of and agree to the Wells Gray Adventures cancellation policy. By signing up for a group departure, you agree to pay for a minimum of 8 participants to qualify. If cancellations reduce the group size to fewer than 8 participants, the group will lose the group discount, and the trip will no longer be considered a private departure. Please ensure that your group maintains the minimum number of participants to enjoy the benefits of the group discount and private experience.

Medical and Dietary Information

Planning menus and bringing supplies into remote mountain locations is a complex task, so to ensure that we can accommodate your needs, it is required that you provide us with any dietary restrictions or medical issues in advance. While we will accommodate your requests as best as we can, please note that due to the mountain setting and our small town location, we may not have access to certain specialized food items. If needed, you may need to bring specific items from home.  Give us a call at the office and we can discuss what you need and we can make sure that you are able to eat well on your trip. 

Right to Refuse Service

Wells Gray Adventures reserves the right to refuse service at any time, for any reason, including but not limited to, violations of this agreement. If service is refused for reasons other than an official park closure, we will provide a full refund, minus any non-refundable booking fees.
