Organizer Participation Agreement


This agreement sets out the terms under which Wells Gray Adventures makes trips available to the Trip Organizer. If you have any questions about the terms of this agreement, please contact us prior to submitting any payments.

  • Trip Organizers are responsible for transmitting all pre-trip information to all Participants, including the WELLS GRAY ADVENTURES waiver, medical form, and information package. Please read all documents provided carefully, they contain information that will help make your trip successful.
  • Trip Participants will be required to agree to the terms of the WELLS GRAY ADVENTURES waiver. A copy of the waiver must be signed on the morning of departure in person at the Wells Gray Adventures Office. It is the responsibility of the Trip Organizer to make this requirement known to Trip Participants and transmit a copy of the Waiver to all participants prior to the trip so they can be aware of the waiver’s contents.
  • The Trip Organizer must ensure that all parties are knowledgeable of, and in agreement with, WELLS GRAY ADVENTURES cancellation policy.


  • All participants realize that there will be times on the trip when social distancing is not possible.
  • All participants will have a mask with them, agree to good personal hygiene techniques, and agree to evacuation at their own expense if exhibiting any symptoms of COVID-19.
  • Participants will be required to be fully vaccinated and be asked to fill out and sign a pre-trip health screening indicating that they have not been exposed to COVID 19, or any other communicable disease, and that all precautions recommended by the Public Health Officer including social distancing, personal hygiene, and mask wearing were maintained for 10 days prior to their arrival at the Wells Gray Adventures office.


  • A 10% NON-REFUNDABLE BOOKING FEE is required to hold all reservations made prior to February 28, 2022. Canadians pay by e-transfer, check, or VISA. All others can pay by credit card, check (US), or bank transfer.
  • All summer trips will need a 50% deposit paid after February 28, 2022. This fee is NON-REFUNDABLE.
  • The full payment for any summer trip will be made 45 days prior to trip departure. This is NON-REFUNDABLE.
  • Unless Wells Gray Adventures is unable to run the trip due to COVID border closures or travel restrictions, all monies paid to Wells Gray Adventures is non-refundable.
  • WGA reserves the right to cancel any trip within 30 days of the departure date for a full refund. WGA does not give refunds on guiding or accommodation for schedule changes due to weather or other natural events.


  • Wells Gray Adventures reserves the right to refuse service at any point in time, for any reason including, but not limited to, violation of the terms of this agreement.
  • In the event that service is refused, Wells Gray Adventures will provide a full refund, less any non-refundable booking fee paid, to the Trip Organizer.


  • This Agreement and any rights, duties, obligations as between the parties to this Agreement shall be governed by and interpreted solely in accordance with the laws of the Province of British Columbia and no other jurisdiction.
  • All vehicles and vehicle contents left at the Wells Gray Adventures designated parking area(s) are at the vehicle owner’s risk.
  • WGA does not give refunds on guiding or accommodation for schedule changes due to weather or other natural events. If you are worried about aged parents, getting sick, your kids, smoke, snow, rain, or any other natural phenomena preventing you from going on your trip, please get cancellation insurance.
  • Cancellation insurance may be obtained from Lifestyle Financial. or the company of your choice.
